We are looking for a professional highly organized, detail-oriented, and proactive Executive Assistant to support our COO across multiple businesses. This is not a standard administrative role—this position requires a true operational partner who thrives in a fast-paced environment, takes initiative without needing to be told, and acts as the COO’s organizational backbone.

Manage and prioritize the COO’s daily tasks, ensuring deadlines are met and follow-through is consistent.
Organize calendars, schedule meetings, and maintain time-sensitive commitments.
Serve as a communication hub—ensuring information flows smoothly across multiple businesses.
Assist with accounts payable and accounts receivable across several companies.
Track invoices, payments, and recurring financial responsibilities.
Support light bookkeeping duties as needed (experience with accounting platforms is a plus).
Learn the structure, operations, and workflow of multiple businesses.
Quickly adapt to new procedures, systems, and priorities as they arise.
Keep the COO organized, on track, and aligned with daily, weekly, and long-term goals.
Hold the COO accountable by providing reminders, updates, and status checks.
Draft, organize, and manage documents, spreadsheets, and digital records.
Exceptionally strong organizational skills with the ability to multitask and manage competing priorities.
Proactive, self-starter mentality—you take initiative and anticipate needs.
Strong computer literacy, including:
Google Workspace (Docs, Sheets, Drive, Calendar)
Microsoft Office Suite (Word, Excel)
Fast and accurate typing
Ability to work independently with minimal supervision.
Experience supporting executives, managing operations, or assisting in multi-business environments.
AI-savvy (bonus): Familiarity with AI tools for productivity, drafting, research, or automation.
Trustworthy, reliable, and able to handle confidential information.
Excellent written and verbal communication skills.
